BVC - COMPLAINT RESOLUTION PROCESS
Bounce Volleyball Club (BVC) has established clear expectations for parents, coaches, and athletes to ensure a positive and enjoyable experience for all participants. Open and respectful communication at the team level is essential to our success. By clearly outlining goals and expectations before the season begins, we aim to minimize conflict and misunderstandings among athletes, parents, and coaches.
Complaint Resolution Procedure:
In the event that a concern or conflict arises, BVC follows a defined process for resolving complaints. Communication should proceed in the following order:
-
First Communication: Athlete and Coach
-
Second Communication: Athlete, Parent, and Coach (if the issue remains unresolved after the first communication)
-
Third Communication: Escalation to the Club President, Jason Camalig
Important Communication Guidelines:
-
Athletes and parents must wait a minimum of 24 hours after an incident before approaching a coach.
-
Meetings must be scheduled outside of practices, games, or tournament play.
-
Under no circumstances may a parent or athlete approach a coach during competition or at a tournament site to discuss concerns, including playing time.
-
Parents and athletes requesting a meeting must come prepared with written, specific concerns, rather than general complaints about the team.
Further Escalation:
If concerns remain unresolved after discussions with the coach, please contact the Club President at president@bouncevc.ca for further investigation.
In extenuating circumstances where a family does not feel comfortable approaching the team coach directly, families may contact the President directly by email president@bouncevc.ca or by phone at 403-361-0053.
All matters will be handled with strict confidentiality, impartiality, fairness, and due process.
Concerns & Safe Sport Violations:
If a concern involves a potential violation of Volleyball Alberta’s Code of Conduct or Safe Sport policies (including abuse, harassment, or similar issues), please contact president@bouncevc.ca immediately.
When reporting such concerns, please include:
-
A detailed description of the incident
-
Date and time of occurrence
-
Names of all parties involved
A Club Director or member of the BVC Executive will be assigned to investigate the matter appropriately.
